InvoiceXL / Practical guide

Combine multiple PDF invoices into one Excel workbook

Batch one invoice per PDF while keeping one row per item and one summary per invoice.

Prepare a bounded batch

Select up to ten PDF files, with a combined size up to 15 MiB. Each file can contain one invoice spanning at most 20 pages. Keep the original filenames meaningful and unique so you can trace a row back to its source. Mixed text and scanned files can be processed in one paid batch.

Choose paid mode

The free allowance is one invoice PDF for one successful conversion. A paid batch costs one credit per source PDF and is atomic: all selected invoices must extract and export successfully before credits are spent. A five-file batch costs five credits, not one workbook credit; review the file count before submitting.

Review the combined tables

All extracted items share one Line items table. Invoices has one row per source invoice with its own currency, tax, total and reconciliation status. A repeated source invoice remains repeated; no supplier invoice-number deduplication is guessed. Check duplicate invoice numbers within your own bookkeeping workflow.

Keep currencies separate

Filter by currency before summing totals. Do not add a GBP invoice to a USD invoice without an explicit accounting exchange-rate policy. No rate lookup or normalization occurs. Download the workbook before the 24-hour deletion window and retain the original PDFs in your own records.
