InvoiceXL / Practical guide
Extract line items from PDF invoices to Excel
Turn supported invoice tables into one flat line-item workbook with source references and total checks.
Choose a readable invoice
Text PDFs work best. Look for a Description or Item header followed by Qty, Unit price and Amount, or a description with a line amount. Use one invoice per PDF, up to 20 pages. Invoice number, Date and Supplier labels improve recognition. Files with several different invoice numbers must be split first.
Try one real invoice
The free trial converts one complete invoice PDF, not a fabricated demo. Check invoice number, date, supplier, currency and every line against the source. Unrecognized fields stay blank with a warning. The tool does not invent a supplier from an unlabeled company logo or infer a currency from a dollar sign.
Read both sheets
Line items contains one row per extracted item, with source filename and page. Invoices contains one row per PDF, including subtotal, tax and total. Taxes and invoice totals are stored once on Invoices to prevent double-counting when an invoice has many items. Amounts are numeric; invoice IDs remain text.
Interpret the check
The arithmetic assumes net line amounts plus tax plus shipping minus discount. A synthetic invoice with 100.00 and 25.50 lines plus 12.55 tax totals 138.05. A mismatch is highlighted red in Excel. Inclusive-tax lines, repeated tax summaries or complex discounts need review even if the arithmetic happens to match.
