InvoiceXL / Practical guide
Convert invoice PDF line items to CSV for bookkeeping
Export a flat item table while avoiding repeated invoice totals and spreadsheet formulas.
Choose the right table
The CSV contains line items only, with invoice number, date, supplier, currency, quantity, unit price, line amount, source page and review status. Download XLSX to obtain the separate one-row-per-invoice totals and tax sheet. Repeating invoice totals on every CSV item would invite accidental double-counting.
Preserve identifiers
Invoice numbers such as 00412 are text in XLSX. When importing CSV into Excel, choose Text for identifier columns to avoid losing leading zeros. Descriptions beginning with formula characters are escaped for spreadsheet safety. Quoted commas and line breaks are CSV syntax, not new invoice records.
Map after checking
Your bookkeeping system may require supplier IDs, tax codes, account codes or a specific date format. InvoiceXL extracts printed data but does not generate those business decisions or post invoices. Confirm the destination schema, duplicate-invoice policy and sign convention before mapping a CSV into an accounts-payable workflow.
Keep audit evidence
Match each item to its source filename and page and compare it with the PDF. Review every OCR warning and red mismatch in XLSX. Keep an unchanged original and a checked workbook in your own records. Source uploads and generated previews expire within 24 hours, so this service is not your document archive.
