Convert a scanned invoice to Excel with local OCR

Understand OCR review flags and why recognizing text is not proof that invoice fields are correct.

Improve the scan first

Use a straight, high-contrast scan with readable printed text. Handwriting, rotation, faint print and decorative backgrounds may fail. If you have the original digital invoice, use it instead. InvoiceXL checks each page for selectable text and uses local English Tesseract only when the text layer is nearly absent.

Read the review flag

Every invoice with an OCR page is marked Please verify / 请核对. That flag remains in the preview and workbook even when totals match. Recognition may confuse zero with O, drop a minus sign or move a decimal point. A valid-looking invoice number can still be wrong.

Check header and table separately

Compare supplier, invoice number and date first, then every quantity, unit price and line amount. Check any printed tax and final total against the Invoices sheet. Missing fields remain blank. A scan with no recognizable supported item rows fails without charging credits rather than returning an invented table.

Know the limits

OCR runs on this server without a third-party recognition API. Processing is limited to 100 seconds per request and may time out on long or complex scans. Split a batch or use fewer pages when needed. The synthetic scan test demonstrates one clean layout only, not universal OCR accuracy.
